The Opportunity
The Office Administrator will perform routine clerical and administrative functions such as providing information to callers, scheduling appointments, organizing and maintaining paper and electronic files, and drafting correspondence.
The Team
Reporting directly to the Plant Manager, this role will play a key part in running in the day-day for the Sioux Falls location.
Responsibilities
Direct phone calls to proper personnel.
Schedule preventive maintenance and schedule, distribute and close work orders.
Responsible for data entry for the Safety Incident Reporting.
Maintain/sync Safety Training Matrix, Attendance Tracker, and OHT (online safety training system.
Maintain Safety Training Matrix for training completions.
Enter inventory tags into system.
Assist Accounting Department with pulling files/documents for audit requests and additional tasks and projects as needed.
Open/distribute/send the US Mail on a daily basis.
Assist co-workers with printing, scanning, faxing, and mailing documents.
Assist Sales department with miscellaneous tasks.
Enter jobs in database after they have been invoiced
Clean up the database when necessary
Prepare documents for customers including Hi Roller and Tramco Manuals and Hi Roller Drawings documents.
Filing plus any other additional tasks and projects as needed.
Manage inventory levels for office supplies and break room supplies.
Manage AGI Clothing inventory, ordering, tracking, and distributing.
Track clothing reimbursements.
Daily office breakroom, bathrooms, and front entrance area cleanup.
Other duties as assigned.
Qualifications
High School Graduate or General Education Degree (GED) is mandatory.
3-5 years prior experience in administrative tasks and document control preferred.
Proficiency with Outlook, PowerPoint, Word, Excel
Strong attention to detail
Ability to keep information very confidential
